1. The three kinds of retreat software
Booking and payment tools publish a retreat page, take registrations and collect deposits and balances. Planning tools work out the budget, the break-even and the profit, before and while you sell. Retreat center systems do the bookings and also manage rooms, meals and staff for a venue with its own beds.
Most independent organizers need the first two. Some tools cover both; most cover one well.

3. Booking and payments for independent hosts
RetreatsOS
An all-in-one system for independent yoga teachers, retreat leaders and wellness guides: a public profile and retreat pages with online registration, Stripe payments with deposit and balance tracking, a roster with dietary needs, a CRM, email blasts, and tools for weekly classes. It also includes a Profit Simulator with fixed and per-person costs, VAT and income tax. The free plan covers one active retreat but locks payment collection, exports and automations; paid plans cost $55 a month or $468 a year. English only. Amoenia vs RetreatsOS, compared in detail.
SquadTrip
Booking and payments for group trips, from retreats to destination weddings. A trip page with rooms, packages, add-ons and an itinerary, which you can embed on your own site; deposits with a scheduled balance charged automatically, with reminders; forms for passports, dietary needs and roommates, and an e-signed waiver. The Starter plan is free, with a 6% fee on every payment (Stripe's processing included) that is added to the guest's total by default; Premium adds branding, scheduled emails, SMS and team members for $29 a month or $299 a year. Its blog offers a free break-even calculator, separate from the product.
WeTravel
A payments, booking and CRM platform for travel businesses, with a page for wellness retreats. Trip pages and itineraries with checkout, payment plans of up to 24 instalments, 36 currencies and a participant manifest. Basic is free and Pro costs $79 a month; on top, every payment carries a processing fee that depends on the method (for example 2.9% on US cards, 1.5% on euro cards, nothing on ACH or SEPA) and a WeTravel fee with a $1.50 minimum. Its academy offers a downloadable retreat budget worksheet.
Gather
Built by retreat hosts for retreat hosts: each host gets a branded website with booking, deposits and payment plans, a CRM, waivers and intake forms, and dashboards, in US dollars or euros. It charges from 2% per booking, with no monthly fee; the exact rate is set in your agreement.
4. Systems for retreat centers
Retreat Guru
Retreat management software for centers: registration with conditional questions, room inventory, deposits and automatic instalments, emails before arrival and after departure, meal and housekeeping reports, venue rentals and accounting codes. It charges 1% of bookings with a $220 monthly minimum on its Standard plan, down to 0.8% for the largest centers, with payment processing from 3.1%; its FAQ also mentions $110 a month. No free plan. Amoenia vs Retreat Guru, compared in detail.
Bookinglayer
Booking and operations for businesses that sell accommodation and activities together, such as retreat centers and surf camps: a booking engine you can embed, automatic deposits and instalments, a guest portal, multi-language and multi-currency booking, a channel manager and more than 55 integrations. The price is a fixed monthly fee agreed on a call, with no commission; its examples range from 260 € a month for one location with 15 beds to 410 € a month for two locations with 53 beds.
5. Planning and money
Amoenia
Our product, so read this with that in mind. Amoenia does not take bookings. It answers the question that comes first: does this retreat make money? You enter fixed costs (venue, teacher, your own fee) and per-guest costs, and it shows how many guests you need, what to charge, and whether the plan holds at two-thirds full. As guests book, you record each one with their own price and payments, and the break-even, the deposits missing and the profit update. A dashboard follows every retreat at once. It is free for one retreat, then 19 € a month or 119 € a year excluding VAT, in English, French, Spanish and German.
RetreatsOS's Profit Simulator, described above, is the other planning feature among these seven.
6. How to choose
Three questions
Do you own the venue? Then compare retreat center systems: Retreat Guru and Bookinglayer.
Do guests struggle to book and pay you? Then pick a booking tool for independent hosts, and compare a flat monthly price against a percentage of each payment at your real volume.
Are you unsure the retreat will pay? Then do the numbers first, with a planning tool or the free calculators below, before you sign anything.
A percentage fee looks free at the start and grows with every booking. At 12 guests paying 1,200 € each, 6% is 864 € for one retreat, a figure worth putting in the budget before choosing.
Free calculators, no account needed: break-even, pricing and budget.
7. Common questions
What is retreat planning software?
Software that helps you run a retreat as a business. It comes in two kinds: booking and payment tools, which publish a retreat page and collect guests' money, and planning tools, which work out the budget, the break-even and the profit. Retreat centers use a third kind that also manages rooms and staff.
Which retreat software has a free plan?
On 21 October 2026: Amoenia (one retreat), RetreatsOS (one active retreat, with payments locked), SquadTrip (Starter, with a 6% fee on payments) and WeTravel (Basic, with processing and WeTravel fees on payments). Retreat Guru and Bookinglayer show no free plan.
Which retreat software includes budgeting or break-even?
Among the tools compared here, Amoenia is built around the budget and a live break-even, and RetreatsOS includes a Profit Simulator. SquadTrip and WeTravel offer a break-even calculator or a budget worksheet as free content, not inside the product. The retreat center systems do not describe forecasting features.
Do I need software for my first retreat?
Not for the bookings: a payment link and a spreadsheet can carry a first retreat of eight to twelve people. What you do need before signing a venue contract is a budget with every cost and a break-even you trust, which a free calculator or a planning tool gives you in minutes.
